Service description
In this workshop, we will work together with you to establish the fundamentals for a structured, secure, and efficient use of Microsoft Teams in your company. The goal is to create a clear environment for collaboration, establish corporate guidelines, and optimize or realign existing structures as needed. You are welcome to specify your personal focus areas and topics during the initial consultation with the consultant. The option to expand to Teams Phone is also available.
The workshop begins with an introduction to Microsoft Teams, explaining the basic functions, technical structure, and the close integration with other Microsoft 365 services such as SharePoint, OneDrive, and Outlook. If Teams is already in use, an overview and assessment of existing Teams structures will be conducted, including an analysis of current Teams, channels, user roles, naming conventions, and potential issues with unmanaged growth.
A central component is the topic of collaboration and data organization, where proven methods for file storage and joint editing within the team context will be presented – including the use of tabs, OneNote, and other tools. Building on this, permissions and access concepts will be discussed, especially the differences between owners, members, and guests, as well as the secure management of shared content.
Another important part of the workshop is collaboration with external persons. We will explore the various options for securely integrating guests and external partners into Teams – for example, through targeted guest access, shared channels, or sharing content via SharePoint and OneDrive. The aim is to enable secure, traceable, and productive external collaboration without losing control over data and access rights.
We also cover the integration of meeting rooms with Microsoft Teams Rooms. This involves modernizing conference rooms for hybrid collaboration – focusing on ease of use, central management, and seamless participation in Teams meetings. Typical room concepts, technical requirements, licensing models, and integration with calendar and booking systems will be discussed. The goal is to optimally incorporate meeting rooms into the Microsoft 365 environment and significantly improve the user experience.
In the Microsoft Teams Telephony block, the workshop will address the use of Teams as a telephony system. This includes integrating traditional landline and mobile telephony into Microsoft Teams to create a central communication platform. An overview of the various options such as Microsoft Calling Plans, Direct Routing, or Operator Connect integration with your telecommunications provider will be provided. The focus is on setting up phone numbers, call queues, auto attendants (call centers), as well as device and headset integration. Additionally, we will highlight the licensing requirements, technical prerequisites, and how to effectively integrate Teams telephony into existing communication structures.
Target audience
The workshop is aimed at IT administrators, IT decision-makers, and contacts from various departments. Access to the Microsoft 365 Admin Center and the structures to be replaced is necessary for the execution.
